Insight Psychological Inc. (“Insight,” “we,” “our,” or “us”) is committed to protecting the privacy, confidentiality, and security of personal information collected through our clinical services, workplace assessments, websites, digital platforms, and related products.

Please read this privacy policy carefully as it describes our privacy practices and how we will collect, use, and disclose any personal information we collect from you, or that you provide to us, in connection with our Services. This privacy policy forms a part of and is incorporated into the Terms of Use for our Services, and describes how we collect, use, disclose, retain, and protect personal information in accordance with:

  • Alberta’s Personal Information Protection Act (PIPA)
  • Personal Information Protection and Electronic Documents Act (PIPEDA)
  • Alberta’s Health Information Act (HIA) where applicable
  • Applicable professional regulatory standards

By accessing our services or website, you consent to the practices described in this Policy. If you do not agree to these practices, you must discontinue use of our services, products, and website.

1. Information We Collect

We may collect information when you:

  • Participate in a clinical service
  • Fill out a form or a survey (on our website, companion app, or as part of a workplace assessment Service)
  • Participate in a contest or promotion
  • Make a purchase
  • Communicate with us via social media sites
  • Request client support
  • Otherwise interact with us

1.1 Personal Information (Clinical Services)

Information about you will be collected when you participate in counselling, psychological assessment, and/or request client support. This may include:

  • Personal Details: such as your name, contact information, demographic data, health history and mental health information.
  • Treatment Details: clinical notes, assessment data, treatment plans
  • Insurance, Payment, and Transactional Information: payment information including those on your methods of payment, extended healthcare insurance information, information about a purchase, such as a description, time and date of the transaction, and other similar types of transactional information. 
  • Communications: we may retain a log of our communications with you such as when you reach out for client support or provide us with feedback.

This information is collected only as necessary to provide clinical services and client support as well as to facilitate payment for services.

1.2 Workplace Assessment Information (PsyRisk Analytics, MyPsychPulse, Group Scans)

When intended members participate in a workplace assessment, we collect:

  • Survey Responses
  • Open-Ended Comments
  • Employment or Membership Information (e.g., department, role, union etc.)

We do not collect names or direct identifiers from participants unless expressly stated. However, your employer may provide us with your work email address in order for us to send you an access link to the assessment. 

Individual responses are not disclosed to the organization. Instead, data is anonymized and aggregated before being shared with organizations. Minimum group-size threshold is maintained to minimize any risk of identification and open-ended identifying information may be redacted or excluded.

1.3 Website, Cookies, and Analytics Data

We may collect:

  • IP address
  • Browser type and device information
  • Pages visited, time spent on pages, and navigation patterns
  • Cookie and tracking data

Tools may include:

  • Google Analytics
  • Website cookies
  • Meta or similar tracking pixels (if enabled)

Cookies may be required for website functionality. You may restrict cookies through your browser settings.

2. How We Use Personal Information

Insight uses information to:

  • Provide clinical services
  • Conduct psychological assessments
  • Deliver PsyRisk Analytics, MyPsychPulse, and related organizational reports
  • Understand trends and produce aggregate insights
  • Process payments and manage accounts
  • Improve services, websites, and digital platforms
  • Ensure compliance with legal and regulatory obligations

We do not use clinical personal health information for marketing purposes.

3. How We Disclose Personal Information

We may disclose information in the following circumstances:

3.1 With Your Consent

Including:

  • Coordination with other healthcare providers
  • Insurance claims
  • Employer-sponsored treatment programs (limited to necessary information)
  • Third-party-sponsored treatment programs such as Workers’ Compensation Board (WCB) or other agencies (limited to necessary information)

3.2 Without Consent (Legal Exceptions)

As required by law, including:

  • Court orders or subpoenas
  • Reporting child or dependent-adult abuse or neglect
  • Imminent risk of serious harm to self or others
  • Professional regulatory investigations
  • As otherwise required under PIPA, HIA, or PIPEDA

Disclosures are limited to the minimum information necessary.

3.3 Workplace Assessments

We disclose only aggregated, de-identified data to organizations as part of PsyRisk Analytics or MyPsychPulse. Individual responses are never provided.

3.4 Third-Party Service Providers

We may share limited information with trusted partners who support our operations, including:

  • Website hosting
  • Practice management and billing systems (Jane, Heidi Health)
  • Assessment platforms (SurveyMonkey, ClicData, Brilliant Assessments)
  • Payment processors
  • IT and security providers

All providers are required to use information only for the purposes for which it was disclosed.

4. Accuracy of Your Information

We use reasonable efforts to ensure that your Personal Information is kept as accurate, complete and up to date as possible. We do not routinely update your Personal Information, unless such an update is necessary. To help us maintain and ensure that your Personal Information is accurate and up to date, you must inform us, without delay, of any change in the Personal Information you provide to us.

5. Data Storage and Security

Insight uses administrative, technical, and physical safeguards to protect personal information, including encryption, secure servers, access controls, and audit logs.

Records are stored in Canada when possible, though some third-party platforms may store or process information in other jurisdictions that may be subject to different privacy legislation and compliance requirements.

We will make any legally required disclosures of any breach of the security, confidentiality, or integrity of your unencrypted electronically stored information to you via email or conspicuous posting on this website in the most expedient time possible and without unreasonable delay, insofar as consistent with (i) the legitimate needs of law enforcement or (ii) any measures necessary to determine the scope of the breach and restore the reasonable integrity of the data system.

6. Retention of Information

Clinical records are retained in accordance with regulatory and legal requirements:

  • 10 years after the last date of service for adults
  • For minors, 10 years after the client turns 18

Workplace assessment data is retained for as long as required to provide services and fulfill contractual obligations. Website analytics data is retained according to platform-specific policies (i.e., Google Analytics).

In general, we will not retain your information longer than is necessary to fulfil the purpose for which it was collected including for the purposes of satisfying any legal, accounting, or reporting requirements and, where required for us to assert or defend against legal claims, until the end of the relevant retention period or until the claims in question have been settled, after which we will use our best efforts to destroy or anonymize it. 

7. Access, Correction, and Rights

Depending upon the jurisdiction in which you live, you may have some or all of the following rights with respect to your information:

  • Access: you have the right to request whether we hold personal information on you and to request a copy of such information.
  • Accuracy: we aim to keep your personal information accurate, current, and complete. We encourage you to contact us to let us know if any personal information is not accurate or changes, so that we can update your personal information. 
  • Withdraw Consent: if you have provided your consent to the processing of your personal information, you have the right to fully or partly withdraw your consent. Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose(s) to which you originally consented unless there is another legal ground for the processing. Withdrawal of consent to receive marketing communications will not affect the processing of personal information for the provision of our services.
  • Cessation of Dissemination: you have the right to request that we cease disseminating your personal information if the dissemination is contrary to the law or a court order. You also have the right to request that we cease disseminating your personal information where the following conditions are met: a) the dissemination of the information causes you serious injury in relation to your right to have your reputation or privacy respected; b) the injury is clearly greater than the public’s interest in knowing the information or the interest of any person’s right to express themselves freely; and c) the cessation of dissemination requested does not exceed what is necessary for preventing the perpetuation of the injury.
  • Mobility: you have the right to request that computerized Personal Information collected from you be communicated to you in a commonly used technological format as well as to any person or body authorized by law to collect such information. This right does not extend to information that was created or inferred from your Personal Information and we are under no obligation to communicate such information if doing so raises serious practical difficulties.
  • Complaints: if you believe that your Personal Information protection rights may have been violated, you have the right to lodge a complaint with the applicable supervisory authority, or to seek a remedy through the courts.

Requests may be subject to legal and regulatory limitations. 

8. International Transfers

Some third-party providers may store or process information outside Canada. Data in other jurisdictions may be subject to foreign laws.

9. Children and Minors

We do not knowingly collect personal information from minors without parental or guardian consent, except as permitted by law.

10. Changes to This Privacy Policy

We may update this Policy over time. The updated version will be posted on our website with the revised “Last Updated” date.

We will generally respond to all access requests within 30 days of the receipt of all necessary information. In circumstances where we are not able to provide access, or if additional time is required to fulfill a request, we will advise you in writing.

We reserve the right not to release certain types of information based upon exemptions specified in applicable laws. Where possible, we will sever the information that will not be disclosed and provide you with access to the remaining information. Should we be unable to provide access to or disclose information to you, we will provide you with an explanation, subject to restrictions.
